Job Summary

The Logistics and Administrative Coordinator manages shipping and receiving operations, administrative tasks, data entry, and client interaction. This multifaceted role demands a detail-oriented individual with strong organizational skills and the ability to handle various responsibilities simultaneously. The position will initially include warehouse responsibilities but will eventually transition these duties to new warehouse personnel.

Qualifications
  • Proven experience in shipping and receiving coordination or a related field.
  • Familiarity with inventory management systems and software.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to work effectively in a fast-paced and team-oriented environment.
  • Proficiency in English, Spanish, and Russian language skills are a plus.
  • A minimum of 2 years of shipping and receiving experience.
Education
  • A high school diploma or equivalent is required.
  • A bachelor's degree in business administration, logistics, supply chain management, or a related field is preferred but not mandatory.
Responsibilities

Shipping and Receiving:

  • Receive incoming shipments, inspect goods for accuracy and condition, and record receipts in the inventory management system.
  • Ensure all received products are appropriately labeled, documented, and stored in designated areas.
  • Coordinate with suppliers and carriers to resolve discrepancies or issues with incoming shipments.
  • Schedule and coordinate transportation carriers to meet delivery deadlines.
  • Generate shipping labels, packing slips, and other required documentation.
  • Maintain a clean and organized shipping area.
  • Assist in the organization and optimization of warehouse space.

Administrative and Data Entry:

  • Maintain accurate records of all shipping and receiving activities.
  • Handle inquiries and assist internal and external stakeholders regarding shipping and receiving matters.
  • Answer telephones, respond to questions by phone or email, and communicate professionally through various channels.
  • Perform administrative tasks, including filing, photocopying, and document preparation.
  • Manage database entry and client files.
  • Document financial information and assist with bookkeeping tasks.
  • Organize and distribute messages and correspondences.
  • Make and confirm travel arrangements as needed.
  • Prepare and mail outgoing correspondence.
  • Maintain confidential department files/records.

Documentation and Reporting:

  • Implement and develop office procedures and record systems.
  • Assist in maintaining compliance with regulatory requirements related to shipping and receiving.
  • Coordinate and communicate effectively with various departments to ensure efficient operations.
  • Adhere to all company policies and procedures.
